Events Coordinator Job Description

Status:  Full-time, salaried, exempt position

The International Mountain Bicycling Association (IMBA) seeks a full-time events coordinator with responsibility to plan and execute events. This position is based in Washington, DC metro area working for the Mid-Atlantic Off-Road Enthusiasts “MORE”.

The events coordinator is the most accountable person “MAP” for the MORE Epic Series and will be the lead coordinator to build teams of volunteers at all three events that will generally be in range of 50 to 150.  As the MAP, the events coordinator will be the only/lead person who is compensated for organizing the MORE Epic Series.  As lead coordinator, this person builds teams of volunteer committees, sponsors and coalition partners to market and coordinate the MORE Epic Series to further MORE's mission, create MORE brand awareness, build community around the trails and the events, showcase area trails, promote the shared interests of land managers, and reach new market segments within the general mountain bike community. The events coordinator works as part of an integrated team to advance strategic goals. The events coordinator also works to organize MORE's presence at trails, advocacy and mountain bike gatherings, and manages MORE's short-and long-term event strategy.

Specific events in the MORE Epic Series include: NoVA Epic℠, Patapsco Epic℠, MoCo Epic®and other events as they are created.

Position Duties and Goals:

  • Manage registration website, promotional communications on multimedia, event permitting and sponsor vendor coordination
  • Prioritize, plan, budget, publicize and execute the MORE Epic Series 
  • Manage event expense budgets expected to exceed 100,000 dollars
  • Create, manage, and use events to market and promote MORE's work and awareness of our advocacy initiatives
  • Grow membership development by promoting MORE’s relevance to riders, bicycle industry and decision makers
  • Contribute to annual fundraising goals as budgeted
  • Ensure MORE is represented at important local and regional trail, access and industry gatherings
  • Establish specific goals for each event to include membership, attendance, fundraising, media exposure and volunteer training/skill development
  • Manage event logistics
  • Develop and manage the MORE multi-year event calendar, event promotions and registration
  • Maximize the power of our online database and social media to organize, promote and fundraise for MORE events
  • Create event templates for replicating success
  • Coordinate MORE board staff participation in events
  • Develop and manage event budgets for all revenue and expenses
  • Create and write compelling marketing materials to support MORE’s events
  • Organize book and bid all travel planning, book flights and hotel rooms, arrange for catering and many other administrative functions as assigned. 


Desired Experience and Qualifications:

  • Bachelors degree, preferably in business or marketing areas or two year experience in related field such as event management, meeting planning, bicycle industry or similar
  • Understanding of advocacy, membership, fundraising and event marketing fundamentals
  • Superb writing and editing skills
  • Hyper-organized with attention to detail and strong time management skills
  • Energetic, creative, positive personality with ability to work as a team-player and autonomously
  • Fluent in Microsoft Office, Mac operating systems, databases, social networking
  • Demonstrated ability to embrace technology and improve systems/processes
  • Ideal candidate is an outdoor enthusiast with a passion for mountain biking
